Challenge
A major international energy company operating multiple industrial sites needed to prepare maintenance Work Packs every day — engineering drawings, safety procedures, work instructions, certificates, technical documentation and equipment history. The process was entirely manual. Users had to search across SAP, SharePoint and Assai, with some documents stored directly in SAP and others referenced only through URLs. Assembling a complete Work Pack took considerable time and carried a significant risk of missing critical documents.
Solution
The customer deployed YAC Digital File Manager. The solution automatically retrieves every document linked to a maintenance order, an equipment record or a functional location, then lets users sort, organize and automatically number documents, save reusable Work Pack templates, reuse existing packs for more complex jobs, and print or distribute a complete Work Pack in a single operation. Through its integration with YAC, it also retrieves URL-referenced documents from SharePoint and Assai, giving users a single consolidated view of everything needed for the intervention.
Based on roughly 100 users saving one hour per day, the solution delivers more than 22,000 hours saved annually — approximately 12 full-time employees — representing several hundred thousand euros in operational savings each year.
